How to get phone numbers for cold calling

Where cold callers get direct dials and mobile numbers, how to build a call list for B2B and real estate, the columns to track, and the calling rules to follow.

Guide · 9 min read · Updated

To get phone numbers for cold calling, search a B2B contact database that includes mobile numbers, enrich a list of names you already have, and fill gaps from company websites and public business listings. The cheapest route is ContactYard: search with Phone required on, and each contact comes with a mobile number and a verified work email for one credit.

This guide explains the kinds of numbers you can call, where each one comes from, how real estate calling works, how to build a call list step by step, and the rules that keep your calls legal.

What is a direct dial number?

A direct dial number is a phone number that rings one person's own line, without going through a receptionist, switchboard or phone menu. Companies set these up on their phone system as direct inward dialing (DID) numbers, so each employee has a personal number on top of the company's main line.

Tip: Direct dial meaning, in one line: a number that reaches one specific person directly. When you build or buy a call list, ask for mobiles and direct dials, never just main lines.

Number typeWho picks upFor cold callingWhere it comes from
MobileThe person, wherever they areBest: it's their own phoneContact data providers like ContactYard
Direct dialThe person, at their deskGood, when they still work at a deskData providers, email signatures
Switchboard or main lineReception or a phone menuWeak: you have to get past a gatekeeperCompany website, business listings

Many people now work from home or on the road, and a desk line rings in an empty office. That's why a mobile is the number you want most.

Contact databases

A B2B contact database is where most cold calling numbers come from. ContactYard covers 100M+ verified B2B prospects, including people other lead databases don't have. You pick the job titles and company filters, turn on Phone required, and the results table only shows people with a phone number.

Enrichment

Already have names from an event, a CRM or LinkedIn? Upload the sheet to Enrich Contacts. Each row needs a LinkedIn profile URL, or first name, last name and company domain, and you get it back with mobiles and work emails added. Fill missing emails and phones in a spreadsheet shows the steps.

Company websites and public listings

Contact pages, map listings, industry directories and chambers of commerce are free, but they mostly give you the main line. Use them to fill the odd gap, not to build a list.

Why ContactYard is the cheapest way to get cold calling numbers

Most data tools charge for the phone number separately. You pay 1 credit for the email, 2 to 10 more for the mobile and 1 more to verify, so a callable contact costs 4 to 12 credits. With ContactYard, one credit covers the whole contact: the verified work email, the mobile when available, and the email verification.

ProviderPrice per 1,000 contacts
ContactYard$3.30, mobile included in the same credit
Apollo.io$18, phone numbers use separate credits
Lusha$75, phone numbers use separate credits
ContactOut$131
UpLead$371

Prices are based on public pricing, using each provider's lowest, most discounted plan, usually annual.

Worked example: a 500-number call list

ContactYard
500 credits, well inside the Growth plan: 10,000 contacts for $49/month
Typical tool at 4 to 12 credits per contact
2,000 to 6,000 credits for the same 500 people
Leftover ContactYard credits
Carry over for the next two billing months

Calling every day? The Scale plan gives you 30,000 contacts for $99/month, about $3.30 per 1,000, with priority support. See pricing.

How to get phone numbers for cold calling real estate

Real estate cold calling means two different things, and the rules differ.

Calling real estate businesses

If you sell to the industry, such as software, marketing, lending, photography, staging, cleaning or insurance, your buyers are agents, brokers, property managers and investors who run businesses. These are B2B calls, and ContactYard is built for them.

  • Brokerages: Broker Owner, Managing Broker, Principal Broker, Team Lead.
  • Property management: Property Manager, Director of Property Management, Regional Manager.
  • Investment firms: Principal, Acquisitions Manager, Asset Manager.

In ContactYard, set Industry to real estate, add those titles, choose your market in Company Location, and use Employee Headcount to separate solo agents from large brokerages. Turn on Phone required.

Worked example: Harborgrid (fictional)

Calling homeowners

Agents and investors who call homeowners, such as expired listings, for-sale-by-owner sellers or absentee owners, are making consumer calls. In the US, stricter rules apply:

  • National Do Not Call Registry. Telemarketing calls to numbers on the registry are not allowed unless an exemption applies, such as written permission or an existing business relationship. Sellers must check their lists against the registry at least every 31 days. The FTC can fine up to $53,088 per violation, and each call can count as a separate violation.
  • TCPA. Calls to a mobile made with an autodialer or a prerecorded or artificial voice need the person's prior express consent, and written consent for marketing. Damages are $500 per call, up to $1,500 if the violation is willful or knowing.
  • Calling hours. Telemarketing calls to homes are only allowed between 8 a.m. and 9 p.m. in the recipient's local time.
  • State rules. Many states keep their own do-not-call lists and add rules of their own. Check the state you're calling into.

How to build a cold call list, step by step

Step 1: Decide who you'll call

Write down two to five job titles and the kind of company: industry, size and location. A call list built from a clear ideal customer profile means fewer calls that end with “you want someone else”.

Step 2: Search with Phone required on

Add the titles to Job Title. Smart matching finds common short forms, so VP Sales also finds Vice President of Sales. Add company filters, then switch on Phone required so every result has a number to dial.

Step 3: Tick the contacts and export

Results show immediately, with no request queue. Tick the people you want, click Export, and you get a CSV with first name, last name, job title, company, work email, phone, LinkedIn URL, company website, location and industry.

Step 4: Add your calling columns

Add the columns below, then sort by time zone so you call each region during its working day.

Step 5: Save the search for next month

Click Save so you can rerun the search from Saved later. ContactYard refreshes its data every 30 days, so a rerun picks up people who joined the right companies. How to build a prospect list covers the filters in detail.

Calling rules basics

B2B cold calling is legal in the US and most other markets, with a few rules to follow:

  • Business-to-business calls are mostly exempt from the Do Not Call rules. The FTC says most calls to a business made to sell to that business are exempt. The exemption covers selling to the business, not pitching household products to whoever answers.
  • Dial by hand. The TCPA consent rule for autodialed and prerecorded calls to mobiles has no business exemption. A person dialing and talking keeps you clear of it.
  • Keep your own do-not-call list. When someone asks you not to call again, mark it and stop for good.
  • Say who you are and why you're calling in the first sentence.
  • Call during their business hours, in their time zone, not yours.
  • Outside the US, check local rules. In the UK, for example, you can't make unsolicited sales calls to numbers registered with the Telephone Preference Service, or the Corporate TPS for businesses.

Tip: This is general information, not legal advice. If you call consumers or call at scale, have a lawyer check your process.

What to do next

What does direct dial number mean?
A direct dial number rings one person's own line without going through a receptionist, switchboard or phone menu. It's also called a DID (direct inward dialing) number.
Is a direct dial the same as a mobile number?
No. A direct dial is a desk line on the company's phone system. A mobile is the person's own phone, which they answer wherever they work. For cold calling, a mobile is usually the better number.
How do I get cold calling numbers cheaply?
Use ContactYard. One credit gives you the mobile when available and a verified work email, while other tools charge 2 to 10 extra credits for the phone. The Growth plan includes 10,000 contacts for $49/month.
How do you get phone numbers for cold calling real estate?
To call real estate businesses, search ContactYard with Industry set to real estate, titles like Managing Broker or Property Manager, your market in Company Location, and Phone required on. To call homeowners, follow the National Do Not Call Registry and TCPA rules first.
Is it legal to cold call businesses in the US?
Yes. The FTC says most calls to a business made to sell to that business are exempt from the Do Not Call rules. Dial by hand, honour requests to stop, and call during business hours.
Can I cold call mobile numbers?
Yes, if you dial by hand. Calls to mobiles using an autodialer or a prerecorded voice need the person's prior express consent, and written consent for marketing, under the TCPA.
