How to build a dentist email list

Guide · 6 min read

To build a dentist email list, pick the person who buys at the practice size you sell to, then filter a B2B database by the dental industry, those job titles, your territory and headcount. Export only verified work emails.

Suppliers, labs, equipment dealers, software companies and marketing agencies all sell to dentists, but each sells to a different person. One generic list of “dentists” serves none of them well.

Who to target inside a dental practice

Practice typeEmployee HeadcountWho signsJob titles to search
Solo and small1 to 10, 11 to 20Owner dentist, often with the office managerDentist, Owner, Practice Owner, DDS, DMD, Office Manager
Larger independent and group21 to 100Owner or managing partner, with a practice administratorOwner, Managing Partner, Practice Administrator, Practice Manager
Regional groups and small DSOs101 to 250, 251 to 500Operations and purchasing, with clinical sign-offDirector of Operations, Purchasing Manager, Regional Manager, Clinical Director
Large DSOs501 to 1000 and upCentral teams, often a formal vendor reviewVP of Operations, Director of Procurement, Chief Clinical Officer, IT Director
  • Small practices: the office manager places most reorders, so email them as well as the owner.
  • DSOs: the central team picks vendors. Emailing every associate dentist wastes credits.
  • Dental labs: the exception. Labs win work from the dentist who writes the prescription, so associates are worth emailing.
  • Specialists: orthodontists, oral surgeons and periodontists buy different products. Build one saved search per specialty.

How to build it in ContactYard

ContactYard searches 100M+ verified B2B prospects. The example follows Quillstack Dental Lab, a fictional Texas lab that wants owner dentists at small practices.

Step 1: Set the industry to dentists

In Industry, choose Healthcare, sub-industry Dentists. Add Dentistry under Services to tighten it. For a specialty, add “orthodontics” or “oral surgery” in Keywords.

Step 2: Set territory and headcount

In Company Location, add your states or cities; Quillstack adds Texas. Under Employee Headcount, it picks 1 to 10 and 11 to 20. Keep small practices and DSOs in separate saved searches.

Step 3: Add the job titles

In Job Title, add Dentist, General Dentist, Owner, Practice Owner, DDS and DMD. Many owners list the degree as their title. Leave matching on Smart.

Under Exclude job titles, add Dental Assistant, Hygienist, Student, Resident and Product Owner.

Step 4: Require an email, and a phone if you call

Turn on Email required, and Phone required for a call list. One credit covers the verified work email, the mobile when available and the verification.

Step 5: Check, save and export

Open 10 to 20 rows to check they are practices in your territory with an owner on each. Click Save; data refreshes every 30 days, so rerunning it next month pulls new owners.

Export the CSV with name, title, verified work email, phone, company, website and LinkedIn URL. How to build a prospect list explains every filter.

Keep the list clean

  • Verified by default: every ContactYard work email is verified before you get it.
  • Skip generic inboxes: info@ reaches the front desk, not the owner.
  • Rerun monthly: owners retire and practices join DSOs, so old exports bounce.
  • Drop bounces from every future send.

Using a file from elsewhere? Clean the list before you send.

FAQ

What is a dentist email list?
A list of dentists and practice staff with work emails, names, titles and practice details. Suppliers, labs and software companies use it to reach buyers.
How much does an email list of dentists cost?
On ContactYard, $49 a month for 10,000 contacts or $99 for 30,000, mobile included when available. Elsewhere, $18 to $371 per 1,000.
Can I get a dentist email list for the USA?
Yes. Set Location to United States and Industry to Healthcare > Dentists, then save one search per region if you like.
What is the difference between a dentist email list and a mailing list?
A mailing list often means postal addresses. An email list gives named people with work emails, and the same export includes mobiles for calls.
